A Quality Assurance Committee (QAC) is a group within an organisation responsible for overseeing and ensuring the quality of products, services, or processes. Its primary focus is to establish and maintain quality standards, conduct audits, and implement improvements to uphold and enhance overall quality. The committee often works collaboratively to monitor adherence to quality policies, identify areas for improvement, and implement best practices to achieve and maintain high-quality standards.

The QAC is responsible for reviewing the completeness of newly data registered datasets, and requires the following fields to be completed and reviewed before they are made available to other users:

  • Name
  • Definition
  • Access Rights 
  • Spatial Coverage: i.e. What geographic area does this data cover?
  • Temporal Coverage: i.e. What time period is covered in this data?
  • Contact Point

The following are recommended, but not mandatory attributes:

  • Frequency: i.e How often is this data updated? This is optional for raw data, but recommended for aggregated data that it refreshed on a regular or ad-hoc basis.
  • Sensitivity Level: This is only required for data that will be made available to external users.

 

This list of recommended and mandatory attributes is reviewed on an annual basis to ensure they are fit for purpose.

Incomplete Submitter wishes to make the community that uses this metadata register aware of the existence of an Administered Item in their local domain. Workgroup Unlocked
Candidate The Administered Item has been proposed for progression through the registration levels. Workgroup Locked
Recorded The Registration Authority has confirmed that — all mandatory metadata attributes have been completed. Public Locked
Qualified The Registration Authority has confirmed that — the mandatory metadata attributes are complete and — the mandatory metadata attributes conform to applicable quality requirements. Public Locked
Standard The Registration Authority confirms that the Administered Item is — of sufficient quality and — of broad interest for use in the community that uses this metadata register. Public Locked
Preferred Standard The Registration Authority confirms that the Administered Item is — preferred for use within the community that uses this metadata register. Public Locked
Superseded The Registration Authority determined that the Administered Item is — no longer recommended for use by the community that uses this metadata register, and — a successor Administered Item is now preferred for use. Public Locked
Retired The Registration Authority has approved the Administered Item as — no longer recommended for use in the community that uses this metadata register and — should no longer be used. Public Locked

The below table gives more information on who can view registrations statuses, and registered items when registered based on the above settings.

Visibility settings Users who can view registration statuses and items
Less visible, fewer users Registration Authority Only Only registrars and managers in this Registration Authority can see metadata registered with this visibility level. This is a more restrictive level of visibility that overrides the default visibility behavior.
Workgroup Members of Workgroups that metadata items belong to can see registration status information at this level.
Steward Organisation Members of the Stewardship Organisation (Aristotle Community) that this Registration Authority belongs to is in can view registration information, and can see metadata registered with these statuses.
Authenticated users All authenticated users in the Registry can see items registered with this visibility level.
More visible, more users Public Anyone who can view the registry can see items registered with a status with this visibility level. Users do not log in to see this information.
